• Chamber Conference Room Rental

  • The IRC Chamber of Commerce Conference Room is available for rental

    Monday through Friday, 9AM to 5PM.

     

    The Conference Room is located on the second floor of the Chamber building.  There is an elevator available for use.  Request to reserve the space is required at least 2 weeks in advance.  Rental of the conference room includes the use of the internet, tables and chairs, TV,  video camera, conference room phone, lap top computer and the kitchen with coffee makers, refrigerator and a microwave.  You may bring in your own pre-made Breakfast and/or Lunch.  You con not prepare  food in the kitchen.

    The rental fee for Chamber Members is $50 per hour.  For Non-Chamber Members $75 per hour.

    Payment is due two weeks prior your requested rental date.

     

    Additional Information

    • We are required by law to charge a 7% Sales Tax on all rental fees except to 501(c)(3) organizations that are exempt from sales tax.  Exempt organizations must provide a copy of their state exemption certificate with their facility use request form.
    • Minimum rental is 2 hours. 
    • A $50 deposit is required to book rental is room.  The deposit will be returned if cancellations are made two weeks prior to event.
    • Any damages to the meeting space or to any part of the interior or exterior of the Chamber property will be paid for by person or organization renting the space.
    • The kitchen adjacent to the meeting space includes a sink, coffee maker, refrigerator, and microwave. It is recommended you bring any utensils, plates, etc. you may need.  

     

    Technology

    • All users will need to coordinate A/V needs at least 48 hours prior to their meeting.
    • We recommend you bring any visual presentations on a flash drive to use the conference room laptop or bring your own laptop with Bluetooth capabilities.
    • There is a large screen TV projector for use with presentations.
    • There is a phone system in the room for conference calls.

     

    Deposit

    A deposit of $50 will be due with this signed agreement.  Deposit will be returned if cancellations are made two weeks prior to event.  There are no refunds if cancellation is within two weeks of event.

     

    Payment is due in full two days prior to rental day.   A 7% sales tax will apply on all rental fees, except for tax exempt organizations.

     

    Cancellation Policy

    You may cancel use of the facility up to two weeks (Monday-Friday) of the scheduled use of the facility. If a cancellation occurs after this time, the deposit/payment will not be returned.

    IRC Chamber Conference Room Policies

    The Chamber is delighted to rent our Conference Room to our Chamber Members and community.  Facilities and equipment may be used for meetings, seminars, instructional or educational programs and meetings for profit and non-profit groups provided such activity does not conflict with the Chamber’s mission, programs, or fundraising abilities.

    The Conference Room and equipment may not to be used for:

    1. Any form of illegal activity.
    2. Any political activity.
    3. Activities not within the policies/priorities of the Chamber.
    4. Hanging banners, signs, taping on walls or any changes to the space. Any changes to room set-up must be done with Chamber staff present.
    5. No Smoking on any part of Chamber property inside or outside.
    6. No cooking permitted in the rooms.

    Technology or Appliances:

    1. Anyone anticipating the use of the technology must have an orientation from Chamber staff in advance of the use of the facility.
    2. Chamber staff are not available to run the equipment at your meeting.
    3. Any damages to kitchen appliances are the sole responsibility of the user.

     

    Responsibilities and Other Comments:

    1. The use of the Chamber Conference Room and/or equipment must be approved by the Chamber.
    2. The Chamber may deny use without cause and will have final judgment in any decision for use of the space.
    3. Use of the Conference Room  does not include use of the entire Chamber facility. Your business or organization will be held responsible to assure that no participants enter Chamber offices other than the kitchen and restroom on the 2nd floor.
    4. Your firm or organization will be held responsible for all clean-up including removal of trash or bathroom cleaning.  No furniture may be moved during use of the Conference Room.
    5. If your meeting requires check-in at the door, please provide your own staff or volunteer to serve as a greeter in the Chamber lobby.
    6. In the event of circumstances beyond our control, your activity may be postponed or cancelled. The Chamber staff will make every effort to help you reschedule.
    7. All groups or individuals using the Conference Room are responsible for the conduct and behavior of all officers, agents, representatives or employees or invitees of the organization.
    8. Failure to return the property and equipment to the condition in which it existed prior to your use, will result in you or your organization being responsible for the expense of any cleaning, repairs to the facility or its equipment.
